Who are we looking for?
The Executive Assistant is an individual who is willing and able to earn the right to be an Assistant Executive. This person relishes the opportunity to build, implement, and manage multiple systems with minimal supervision. The Executive Assistant is deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. This person has immense focus and can do one thing for a long time without getting distracted. An Executive Assistant is deeply committed to supporting the lead agent in achieving greater and greater levels of success, and to growing his/her own skills and developing into a supportive leader within the team. As the success of the team grows, this individual will be responsible for hiring, training, and leading additional team members to ensure all administrative tasks of the lead agent’s business continue to be completed to high standards with maximum efficiency.
What will you do?

- Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
- Responsible for all financial systems, including maintaining the books, paying the bills, handling payroll, assuring the collection of commissions, maintaining the budget, and generating financial reports

- Maintain an operations manual that documents all systems and standards
- Coordinate the purchase, installation, and maintenance of all office equipment
- Be the first point of contact in handling customer inquiries or complaints

- Responsible for hiring, training, consulting, and holding accountable all additional administrative team members

TRANSACTION COORDINATOR
We have an immediate opening for a full-time in-house transaction coordinator for Keller Williams Realty Atlantic Shore in Northfield, New Jersey. Our ideal candidate will be a team player who is energetic, reliable, punctual, and has experience in the real estate field as a transaction coordinator.
Transaction Coordinator Responsibilities (include but are not necessarily limited to):
-Acting as liaison between and coordinate with real estate agents, clients, escrow, appraisers, inspectors, and mortgage brokers throughout the transaction
-Handling all sales transactions from contract through closing
-Coordinating all closing activities
-Ensuring all documents are in compliance with New Jersey Real Estate Commission and our office policies (e.g., executed and initialed correctly, required disclosures are secured, etc)
-Maintaining under contract files and the production, coordination and processing of all information and documents pertaining to each transaction
-Monitoring and assessing the progress of the transaction so that deadlines are met and contingencies are released
-Performing administrative and clerical duties including setting home and inspection appointments
A successful candidate will possess the following:
-Residential real estate experience (TC experience a plus)
-Exceptional customer service and communication skills
-Attention to detail and deadlines
-Ability to multi-task and problem solve
-Solid clerical or administrative background with above-average computer skills (Word/Excel/Outlook)
-Willingness to train agents on process and procedures
-Licensed agent/notary a plus
-Knowledge of Escrow a plus
-Spanish speaking a plus
Duties may also include assisting other staff members with phone coverage and general administrative tasks.
